Choosing a Task

The task finder shows a list of all your tasks in alphabetical order. If you have more than 50 tasks, only the first 50 are shown. You can search for a task by name, and change the maximum number of tasks displayed by filling in the boxes at the top of the page and pressing the Find button.

To edit a task, just click on it. To add a new task, click on "Add a new task" at the top of the list.

Editing a Task

Name
This is the name used throughout ResourcePlanner to identify the task, and it must be unique. You cannot have a task and a task group with the same name.
Group
You can select a task group, or choose (none) if the task is not in a group. If you have task groups, then the Task View will be sorted by group, otherwise it will be sorted in alphabetical order.
Color
You can choose a color for the task (you can add more colors to the list in Color keys). If you choose a color, and a job does not specify a color, then jobs for this task will be shown in this color.
Notes
Enter free-form notes here. If you set "Show Notes" in Settings, then the notes will appear in a pop up window when you hover your mouse over a task in Task View.
Include on quick tasks list
If you check this box, this task will be included on the list of quick tasks. This is useful for tasks you perform often (e.g. repairs), and want to be able to book quickly and easily all on one screen.
Recurring task (automatically repeats)
If you check this box, bookings for this task will automatically repeat themselves on a schedule you choose. This is useful for tasks you perform at regular intervals (e.g. servicing, inspections). The following items are only enabled if this box is checked.
Repeat every
Choose the repeat interval, which may be any number of minutes, hours, days, weeks, months or years. The repeat interval must obviously be greater than zero.
Create recurring jobs in advance
This determines how far in advance recurring jobs are created - for instance, you might have an inspection every month, but want to show the next six (to avoid accidentally double booking the inspection date). It is important that the values here result in a longer period than the repeat interval, otherwise the job will not repeat properly. The job scheduler works on jobs, and does not consider jobs in the past as candidates for scheduling.
Move subsequent jobs when a job is moved
If you check this box, if you move a scheduled job, all subsequent scheduled occurrences will be moved by the same amount. This is useful for tasks like inspections, where there must not be a long gap between inspections - if you bring one forward by a week, the subsequent ones have to be brought forward too. Note that the job scheduler will only move jobs it has created itself - if you move (or otherwise update) a job by hand, the job scheduler will no longer consider moving it.
Update
Pressing this button will write any changed details back to the database, and return you to the previous screen.
Cancel
Pressing this button will discard any changes, and return you to the previous screen.
Apply
Pressing this button will write any changed details back to the database, but leave you in the same screen.
Delete
Pressing this button will delete the details permanently. You will always be asked to confirm a delete (and there may be details in the confirmation dialog of other information which will be deleted at the same time). Once you answer OK to the confirmation dialog, the information will be gone for ever (but see Backup and Restore).
